Industry Partner, Exhibitor, and Sponsor Registration for the NCVMA Summer Conference

Welcome to the NCVMA Summer Conference exhibitor and sponsor registration. This event brings together veterinarians, practice leaders, and technicians for three days of continuing education at the Wilmington Convention Center. Use this page to register your company for exhibit space or a sponsorship opportunity.

Conference activity begins at 8:00 am on Friday and concludes at 1:00 pm on Saturday.

• Exhibitors requesting a table or booth in the exhibit area
• Partners sponsoring receptions, lunches, breaks, or individual sessions

What to expect

Once registered, your company will receive a confirmation email and later an exhibitor information packet with setup instructions, access points, parking guidance, and final exhibit hours. Additional updates will be shared as the schedule is confirmed.

Exhibit hours

Exhibit hours will align with peak attendee traffic around CE sessions, morning check in periods, and scheduled breaks. Final exhibit hours will be shared in the exhibitor packet.

Load in and setup

All companies will receive detailed load in instructions, including access points and recommended arrival times. General expectations:

• Setup Requirement: All exhibits should be set and ready before attendees arrive for the first exhibit period

Load out

Load out begins after the final exhibit period on Saturday. Early teardown is discouraged so the exhibit area remains active and professional for attendees.

• Restrictions: Early departures require advance approval

Hotel Information

A room block will be available at the Embassy Suites by Hilton Wilmington Riverfront, located next to the Wilmington Convention Center. This is the primary hotel for the NCVMA Summer Conference and is connected to the Riverwalk.

Reservation details will be shared once the hotel link is active. Exhibitors and sponsors are encouraged to reserve early since availability is limited during the summer season.
